Welcome to the Salesforce Admins podcast, where we talk about product, community, and career to help you become an awesome admin. This week, we’re talking with new Salesforce admin, Courtney Coen, about how to visually solve problems and draw out solutions as a Salesforce administrator.

What does a Salesforce Administrator do?

Because Salesforce can be used in a variety of ways, the role of a Salesforce admin can differ from organization to organization, and from industry to industry. But there are several roles a typical Salesforce admin fills in the work they do. They include:

Why do administrators develop standards for Salesforce?

As users add leads and other data to Salesforce, administrators develop standards for these processes to help ensure data consistency across the organization.

What are the roles of Salesforce certified?

The obvious roles for a person with one of these certifications include Salesforce Administrator, Advanced Administrator, and Business Analyst. But there are others. For example, Certified Administrators may also be qualified to be Sales Engineers.

Why do Salesforce updates go live?

Salesforce is designed to automatically update on a regular basis, but the best admins proactively test and install these updates in a sandbox in order to understand changes and explore new capabilities before updates go live. This helps ensure the organization’s data stays as secure as possible and Salesforce runs at full capacity.

Why do organizations need Salesforce administrators?

All of these organizations need qualified Salesforce Administrators to help them manage the platform and keep things running smoothly. Salesforce recently projected a 400% annual increase in demand for Salesforce administrators, so demand for qualified admins appears to continue to grow.

How often does Salesforce deduplication work?

Some operate automatically in real time while others are initiated at a regular interval (usually at least once a week ) to keep Salesforce running at full speed.

What are Salesforce tests?

These tests and reports may include field utilization reports, APEX tests, role and profile reports, and other industry specific reports. The administrator’s system knowledge and access to data makes them the go-to resource for this kind of activity and they often automate processes for the tests and reports.

What should a departing Salesforce admin do?

The departing Salesforce Admin should focus the majority of their time (or as much time as can be dedicated) to documentation. Use this opportunity to create or think through a documentation strategy if one doesn’t already exist. See How to Document Your Salesforce Instance for more details and ideas. Personally, I prefer a WIKI as a repository for this type of information. It can be edited by multiple people, can be published internally and lives online, so it’s never stuck on someone’s hard drive.

What is knowledge transfer in Salesforce?

Knowledge transfer is a critical component to replacing the Salesforce Administrator. Unfortunately, not many former Salesforce Admins get the opportunity to onboard their replacement. That is why documentation and training are vital parts of this process. Transferring Knowledge.

What should a departing user put together before jumping into full-on documentation mode?

However, before jumping into full-on documentation mode, the departing user should put together a document that outlines all of their existing open tasks and projects. If Salesforce is being used to track admin requests, run a report and discuss the list to determine what can be placed on hold, what can be transferred (if resources exist) and what will get completed. The idea is to map out what the existing workload looks like so that priorities and proper communication can be set.

What is weekly export in Salesforce?

Weekly Export – weekly exports, which are an export of your Salesforce data, should be transferred as well if currently being managed by the Admin. Transferring the exports to a different user ensures no disruption in backup processes.

What is a running as user?

When the user becomes inactive, the entire dashboard or specific components may no longer work. The running as user should be reassigned before deactivation as to not disrupt others.

What should be used instead of pointing to a user in a workflow?

For Workflow Rules, Field Updates, and Validation Rules – instead of pointing to a user, this should be use a profile or permission set.

Is the departing admin the primary contact for Salesforce?

Company Information – it is possible that the departing Admin is listed as the primary contact for the Salesforce org. This will need to be changed before deactivation.
